Job Title: Administrative Assistant (MIS Department)

FLSA: Non-Exempt

Working Hour: 8:30~17:30 (1 hour Lunch)

Working Model: Office

An international manufacturing company is seeking a highly organized and proactive Administrative Assistant to support the MIS Manager and team.

This role provides a wide range of administrative support while maintaining a high level of confidentiality, professionalism, and attention to detail. Y

ou will serve as a key point of coordination and a resource for internal stakeholders.

 

Key Responsibilities

  • Manage calendars, schedule meetings, and prepare agendas and meeting minutes
  • Coordinate travel arrangements and logistics
  • Process purchase requests, invoices, and expense reports
  • Support onboarding activities, including equipment setup for new hires
  • Assist with budget tracking and cost reconciliation
  • Create presentations, web content, and other internal documentation
  • Maintain records, databases, and project tracking tools
  • Handle correspondence, mail distribution, and visitor coordination
  • Support contract tracking, routing, and approval processes
  • Plan and execute team events and special projects

 

Qualifications

  • Bachelor’s degree in Business, IT, or a related field preferred
  • Japanese language skills are highly preferred
  • 1+ year of work experience preferred; new graduates are also encouraged to apply
  • Strong interpersonal skills with the ability to build effective working relationships
  • Excellent written and verbal communication skills
  • Highly organized with strong multitasking abilities
  • Ability to prioritize, adapt, and work independently in a fast-paced environment
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Teams, and Zoom
  • Familiarity with general office practices and procedures
