This is a hands-on, in-office role with flexible options for full-time or part-time schedules.<\/p>\n<hr>\n<\/hr>\n<h3><strong>Position Summary<\/strong><\/h3>\n<p>The Office Assistant plays a key role in supporting office administration, customer service, shipping coordination, document handling, and basic accounting functions. Ideal candidates will be detail-oriented, proactive, and comfortable managing a variety of responsibilities in a dynamic team environment.<\/p>\n<hr>\n<\/hr>\n<h3><strong>Key Responsibilities<\/strong><\/h3>\n<ul>\n<li>Answer and forward phone calls professionally<\/li>\n<li>Provide customer support via phone, fax, and email<\/li>\n<li>Manage customer files and perform general office administration tasks<\/li>\n<li>Create and manage invoices using QuickBooks Online<\/li>\n<li>Maintain cloud-based document records (invoices, permits, agreements, etc.)<\/li>\n<li>Process parts orders (select, label, pack, and ship)<\/li>\n<li>Coordinate shipments, track delivery status, and handle shipping claims<\/li>\n<li>Assist with exporting and tracking parts internationally<\/li>\n<li>Perform customer credit checks and follow up on accounts receivable and past due payments<\/li>\n<li>Support sales by sending product information, pricing, and sales materials<\/li>\n<li>Manage incoming and outgoing mail\/packages<\/li>\n<li>Maintain and update CRM data and administrative manuals<\/li>\n<li>Prepare reports and assist with continuous improvement (Kaizen) activities<\/li>\n<li>Maintain office and shipping supplies<\/li>\n<li>Support warehouse organization and inventory (counts, backorder handling, reordering)<\/li>\n<\/ul>\n<hr>\n<\/hr>\n<h3><strong>Qualifications<\/strong><\/h3>\n<h4><strong>Required:<\/strong><\/h4>\n<ul>\n<li>Strong proficiency in <strong>Microsoft Excel<\/strong>, Word, and Outlook<\/li>\n<li>Experience using <strong>QuickBooks Online<\/strong><\/li>\n<li>Familiarity with <strong>CRM systems<\/strong> and cloud-based document management<\/li>\n<li>Basic knowledge of logistics, shipping procedures, or inventory tracking<\/li>\n<li>Experience handling invoices, AR, and customer documentation<\/li>\n<li>SAP experience is a plus<\/li>\n<\/ul>\n<h4><strong>Preferred:<\/strong><\/h4>\n<ul>\n<li>Excellent verbal and written communication skills<\/li>\n<li>Highly <strong>organized<\/strong> and able to manage multiple tasks and priorities<\/li>\n<li>Strong <strong>attention to detail<\/strong>, especially with numbers and documentation<\/li>\n<li><strong>Proactive<\/strong> and able to work independently in a fast-paced environment<\/li>\n<li>Comfortable supporting team members and taking initiative<\/li>\n<li><strong>Bilingual in Japanese and English<\/strong> is a plus, especially for internal communication and training, however it is not a requirement<\/li>\n<\/ul>\n<hr>\n<\/hr>\n<h3><strong>Other Details<\/strong><\/h3>\n<ul>\n<li>Potential future opportunity for full-time regular employment based on performance<\/li>\n<\/ul>\n<hr>\n<\/hr>\n<p><em>This job description is intended to provide a general overview of the position and its responsibilities.
