Summary of the Position:<\/strong><\/h3>\n

A growing company in the veterinary pharmaceutical and medical device industry is seeking a bilingual (Japanese-English) Assistant to support the Manager.<\/p>\n

This position focuses primarily on order processing, shipping operations, and customer support<\/strong>, while also assisting with sales-related activities such as seminars and client communication<\/strong>.<\/p>\n

This role is ideal for someone who is detail-oriented, proactive, and interested in both operational work and client interaction.<\/p>\n

Breakdown of Responsibilities:<\/strong><\/h3>\n

  • 70% Operations (Order Processing & Shipping)<\/li>\n
  • 30% Sales Support & Client Interaction<\/li>\n<\/ul>\n

    Key Responsibilities<\/strong><\/h3>\n

    Operations & Shipping<\/strong><\/p>\n

      \n
    • Process sales orders and coordinate shipments (domestic & international)<\/li>\n
    • Pick, pack, label, and prepare products for shipment<\/li>\n
    • Arrange pickups and manage shipping carriers (FedEx, UPS, USPS, etc.)<\/li>\n
    • Create shipping lists and send shipment notifications to customers<\/li>\n
    • Perform inventory checks and manage stock levels<\/li>\n
    • Inspect incoming products and handle discrepancies, returns, and vendor claims<\/li>\n
    • Track deliveries and follow up on delays or issues<\/li>\n
    • Maintain organized inventory and warehouse space<\/li>\n<\/ul>\n

      Sales Support & Coordination<\/strong><\/p>\n

        \n
      • Support seminars, trade shows, and academic conferences (including travel)<\/li>\n
      • Communicate with clients (primarily Japanese veterinarians and institutions)<\/li>\n
      • Assist with product promotion, including specialized medical devices<\/li>\n
      • Handle customer inquiries and build relationships<\/li>\n<\/ul>\n

        Administrative Support<\/strong><\/p>\n

        • Support the Manager with daily operations and coordination across locations<\/li>\n
        • Maintain documentation (invoices, POs, shipping records)<\/li>\n
        • Assist with various internal tasks as needed<\/li>\n<\/ul>\n

          Travel Requirements<\/strong><\/h3>\n
            \n
          • Business trips to Japan (approx. 1-3 times\/year)<\/li>\n
          • Domestic travel within the U.S. (approx. 2-3 times\/year)<\/li>\n
          • Occasional travel to Hawaii and conference locations<\/li>\n
          • Typical trip duration: ~1 week<\/li>\n<\/ul>\n

            Qualifications<\/strong><\/h3>\n

            • Expert-level Japanese and business-level English<\/li>\n
            • Strong attention to detail and accuracy<\/li>\n
            • Positive attitude and strong communication skills<\/li>\n
            • Ability to handle both operational and client-facing responsibilities<\/li>\n
            • Interest in medical, pharmaceutical, or veterinary industries<\/li>\n
            • Team-oriented with a proactive mindset<\/li>\n<\/ul>\n

              Preferred Qualifications<\/strong><\/h3>\n

              • Experience in logistics, shipping, or order processing<\/li>\n
              • QuickBooks experience is a plus<\/li>\n
              • Basic to intermediate Excel skills<\/li>\n
              • Work experience in Japan is a plus<\/li>\n<\/ul>\n
