Position: Event Operations Coordinator\/ Manager – Japanese Bilingual <\/strong><\/p>\n

Location: Los Angeles, CA (Hybrid)<\/strong><\/p>\n

Working Hours; 9AM-6PM <\/strong>\u00a0<\/strong>(Weekday schedule, but weekend work is required based on event needs)<\/strong><\/p>\n

Salary: $58 – 70k\/year<\/strong><\/p>\n

Summary of the Position:<\/h2>\n

This role is responsible for planning, coordinating, and executing a wide range of events, including hosted, co-hosted, and rental events.<\/p>\n

Depending on experience, the position may function at either a Coordinator or Manager level, handling event logistics, vendor coordination, and on-site operations while collaborating with internal teams.<\/p>\n

The ideal candidate is highly organized, detail-oriented, and able to manage multiple projects in a fast-paced environment while ensuring high-quality event execution.<\/p>\n

Key Responsibilities:<\/h2>\n

Event Planning & Execution<\/h3>\n
    \n
  • Coordinate all aspects of events, including:\n
      \n
    • Venue logistics<\/li>\n
    • Guest management and RSVPs<\/li>\n
    • Room setup and seating<\/li>\n
    • Audiovisual arrangements<\/li>\n
    • Catering and staffing<\/li>\n<\/ul>\n<\/li>\n
    • Prepare event orders and communicate requirements to internal teams<\/li>\n
    • Gather necessary materials from stakeholders (schedules, presentations, etc.)<\/li>\n
    • Support or lead pre-event planning, including meetings, rehearsals, and technical checks<\/li>\n
    • Oversee on-site event operations:\n
        \n
      • Setup and breakdown<\/li>\n
      • Vendor coordination<\/li>\n
      • Guest reception (including VIP handling)<\/li>\n
      • Troubleshooting during events<\/li>\n<\/ul>\n<\/li>\n
      • Monitor event performance and identify areas for improvement<\/li>\n<\/ul>\n

        PR \/ Marketing Support<\/h3>\n
          \n
        • Create and manage event registration pages and RSVP tracking<\/li>\n
        • Coordinate event announcements, newsletters, and follow-up communications<\/li>\n
        • Support development and distribution of post-event surveys<\/li>\n
        • Maintain and update contact and mailing lists<\/li>\n<\/ul>\n

          Administrative & Reporting<\/h3>\n
            \n
          • Prepare post-event reports (attendance, survey results, summaries)<\/li>\n
          • Organize event materials (slides, photos, videos, printed materials)<\/li>\n
          • Track operational KPIs and event data<\/li>\n
          • Provide facility tours to vendors and partners as needed<\/li>\n<\/ul>\n

            Qualifications:<\/h2>\n
              \n
            • Bachelor\u2019s degree in Business, Hospitality, Communications, or related field (or equivalent experience)<\/li>\n
            • Experience in event coordination or event management:\n
                \n
              • Coordinator level: 2\u20133+ years<\/li>\n
              • Manager level: 3+ years or equivalent<\/li>\n<\/ul>\n<\/li>\n
              • Business-level proficiency in both Japanese and English (spoken and written)<\/li>\n
              • Strong organizational and time management skills<\/li>\n
              • Ability to manage multiple tasks and prioritize effectively<\/li>\n
              • Excellent communication and interpersonal skills<\/li>\n
              • Detail-oriented with strong problem-solving ability<\/li>\n
              • Ability to remain calm and professional in fast-paced environments<\/li>\n<\/ul>\n

                • Event coordination and project management skills<\/li>\n
                • Microsoft Office (Excel, Word, PowerPoint, Outlook)<\/li>\n<\/ul>\n

                  • Experience with event platforms (e.g., Survey tools, webinar tools, email marketing tools)<\/li>\n
                  • Basic knowledge of audiovisual equipment<\/li>\n
                  • Experience managing vendors or leading event operations<\/li>\n
                  • Food & beverage or hospitality experience<\/li>\n<\/ul>\n

                    Work Environment:<\/h2>\n

                    • Ability to lift up to 30 lbs.<\/li>\n
                    • Ability to stand and move for extended periods during events<\/li>\n
